Policies and Guidelines
Confirmed Bookings
All guests should receive their confirmation receipt shortly after booking. If you do not receive it, it is your responsibility to contact us to correct any errors that may have occurred.
Check-in and Check-out
Check-in times vary by location. Check-in for Fairbanks, AK is 4pm. Check-in for Lake Tawakoni, TX is 3pm.
Check-out is at 11am at all property locations.
A member of our concierge team will be in touch with you prior to your arrival to discuss all check-in details.
Early check-in or late check-out is subject to availability and will incur a fee of $10 per hour. Should you stay longer than your scheduled time, we reserve the right to charge your card accordingly. Early check-in and late check-out options can be purchased through our website up to four weeks in advance.
Please note: While our concierge is not on-site full time, we’ll make every effort to accommodate your needs. However, some delays or limitations may occur.

Policies vary by location and season, and are as follows:
Lake Tawakoni, Texas
Booking Confirmation & Deposit
A deposit of $100 is required at the time of booking to confirm your reservation. This deposit is non-refundable but will be applied toward your stay balance.
Cancellation Policy
More than 21 days before check-in: Cancellations made at least 21 days prior to check-in are eligible for a full refund, minus the $100 non-refundable deposit.
Within 21 days of check-in: The full balance is due and non-refundable. Cancellations made within this window will not be refunded.
Rescheduling Policy
Guests may reschedule their stay with no additional fee. However, payment is due in full at time of change and is nonrefundable. Requests cannot be guaranteed but will be considered based on availability.
Fairbanks, Alaska

Summer Season
Check-in dates May 15 – September 15
Deposit: $100 non-refundable, due at time of booking.
Cancellation
More than 21 days before check-in: Full refund, minus the $100 non-refundable deposit.
Within 21 days of check-in: Full balance is due and non-refundable.
Winter (Aurora) Season
Check-in dates September 16 – May 14
Deposit: $250 non-refundable, due at time of booking.
Cancellation
More than 60 days before check-in: Full refund, minus the $250 non-refundable deposit.
Within 60 days of check-in: Full balance is due and non-refundable.
Rescheduling

Weather & Travel-Related Cancellations
Alaska & Texas weather and travel conditions can be unpredictable. Snow, cold temperatures, hot temperatures, summer smoke, variable weather conditions and standard travel delays do not qualify for refunds.
In the unlikely event of severe weather or unsafe conditions that render the property uninhabitable, Wilding Hotels will assess refund or rescheduling options at its discretion.
We appreciate your understanding as we work to balance flexibility with the operational realities of a small, boutique property.
Travel Insurance Recommendation
Due to the strict nature of our cancellation policy, we highly encourage guests to purchase trip insurance to protect against unexpected changes to their travel plans.
Flight cancellations, delays, or other travel disruptions do not qualify for exceptions to our policy.
Weather-Related Cancellations
- While Alaska’s weather is part of its natural beauty, road closures due to snow or storms are generally brief. We recommend staying near the property the night before check-in, especially in winter.
- No refunds will be issued for weather-related delays or disruptions unless Wilding Hotels is unable to prepare the lodge for your arrival.
Airline Cancellations
Airline-related cancellations follow our general cancellation terms. Please consider purchasing travel insurance to protect against airline delays or cancellations.

While snow and storms can occur in Alaska, road closures are typically brief. We recommend staying near the property the night before and avoiding long journeys during winter. No refunds are issued for weather-related delays or travel disruptions unless Wilding Hotels cannot prepare the lodge for your arrival.
Occupancy Guidelines for Wilding Suites
At Wilding Hotels, we take pride in creating a comfortable and relaxing experience for our guests. To ensure everyone enjoys their stay, we’ve established specific occupancy guidelines tailored to the unique features of our standard and deluxe suites.
Standard Suites: Cozy Comfort for Two
Our standard suites are designed with comfort and functionality in mind, offering the perfect getaway for couples or solo travelers. To maintain the highest level of comfort, these suites have a maximum occupancy of two adults. This policy ensures that every guest has ample space to relax and enjoy their surroundings.
Deluxe Suites: Ideal for Small Families
For those traveling with a small family, our deluxe suites provide a bit more room. These accommodations can host up to three guests, specifically two adults and one child. The additional space in the deluxe suites makes them ideal for families looking for a cozy yet accommodating retreat.
Gathering Suites: Ideal for Larger Groups
For those traveling with a larger group, our gathering suites provide additional sleeping accommodations. These suites can host up to four guests, specifically two adults and two small children, or two couples. These suites have a queen-sized futon sleeper in addition to a king-sized bed.

Overcrowding not only diminishes the enjoyment of the space but can also strain facilities, impacting your overall stay. By adhering to these guidelines, we ensure that all guests have a tranquil and enjoyable visit.

Traveling with Children
- We provide baby cots for children up to 3 years old.
- Children under 14 must always be accompanied by an adult.
Drone Flying Rules
To respect guest privacy:
- Fly only between 10:00 AM and 8:00 PM.
- Maintain a minimum radius of 30 feet from other suites
- Do not fly high or near other suites.
Safety Standards and Liability
Wilding Hotels is not responsible for any loss, injury, or expenses arising from force majeure events (e.g., weather, strikes, or natural disasters). Guests are encouraged to purchase travel insurance to cover emergencies or trip disruptions.
Guests assume full responsibility for their safety and the safety of their group while on the property.
To ensure your safety and enjoyment:
- Shower without a swimsuit before entering the sauna.
- Take breaks every 15 minutes in the sauna and stay hydrated.
- We are not responsible for lost or stolen valuables.
Smoking Policy
All suites, including terraces, are non-smoking areas. A $325 cleaning fee will be charged for violations.
Cleaning
Cleaning is included in the nightly rate. Excessive mess will incur an additional $150 cleaning fee.
Lost/Forgotten Items
Wilding Hotels is not responsible for lost or forgotten items. Guests may retrieve items within 7 days of check-out. Shipping requests are subject to a handling fee of $35 plus postage costs.
Damages and Theft
Guests are responsible for any damages to the property, such as broken items or excessive stains. Charges will be made to the card on file, and proof will be provided.
Theft of items (e.g., bathrobes, decorations, or electronics) will also result in charges.
Nightly Rates and Payment Terms
Wilding Hotels reserves the right to adjust rates due to economic changes, including currency fluctuations, inflation, or tax changes. Rate adjustments will apply to all bookings, even those previously confirmed.
